# **Fishing Lake Bookings Without No-Shows: A Practical Guide**

How to move from phone and WhatsApp bookings to online swim booking, which cancellation rules anglers accept, and how to cut no-shows at your lake.

More and more lakes in Romania only take anglers who have booked. Yet most of those bookings still arrive by phone, on WhatsApp or in Facebook messages, and end up in a notebook or in someone's phone. It works until the Saturday when two anglers have been promised the same swim and two others never turn up.

No-shows never disappear completely, but they drop when a booking costs something, when the rules are known in advance, and when an angler can cancel as easily as they booked. Below is what works, what to look for in a fishery booking system, and a set of rules you can copy into your lake's regulations.

**In short:** an angler turns up when they (1) paid something to book, (2) saw the cancellation rules before paying, (3) get a reminder the day before and (4) can cancel in a few taps, freeing the swim instead of vanishing. The rest is up to you, meaning one calendar for every booking and the same rules for everyone.

## What phone bookings really cost you

The phone feels free. It is not.

- **Your time.** Calls at six in the morning while you are weighing a fish or fixing a pontoon, and messages at midnight asking "any room on Saturday?". Every booking is a conversation plus a confirmation.
- **Double bookings.** When bookings live in a notebook, on WhatsApp and in two people's heads, it is only a matter of time before the same swim is promised twice.
- **A booking that commits nobody.** An angler who only phoned has paid nothing. If they change their mind on Friday night, they lose nothing. You lose the swim you turned someone else away from.
- **Empty swims at peak season.** A free swim on a Tuesday is a small problem. An empty swim on a Saturday in May, because the angler never came, is money you will not get back.
- **No records.** You do not know who comes back, who cancels often or how full the lake was last month, so you have nothing to base your prices on.

That does not mean the phone has to go. Regulars will keep calling, and that is fine. The trouble starts when the phone is the only system and the only record.

## Why anglers do not show up, and what works against it

The reasons are the same everywhere. The weather turned, something came up at work, the friend with the car pulled out, or the angler held swims at two lakes and picked one at the last minute. You cannot remove those reasons, but you can make a booking count.

### A paid commitment

A booking the angler paid something for, however little, is a decision. One made over the phone is an intention. Paying to book moves the cost of changing your mind from you to the person changing it, which is why it works better than any polite request.

### Rules stated before, not after

The cancellation rule has to be known before the angler pays. A rule invented after someone failed to turn up is not a rule, it is an argument. Put it in your regulations, on your lake page and in the confirmation message.

### A reminder the day before

Most anglers do not forget their session; they forget to say they are not coming. A reminder the evening before makes them decide in time, and a swim freed a day ahead can still be sold.

### An easy way to cancel

It sounds backwards, but an angler who can cancel from a link frees your swim. One who has to phone and explain themselves often never phones at all.

### Consequences applied to everyone

Many lakes use a simple rule. The first no-show earns a warning; after the second, future bookings are taken only with full payment in advance, or not at all. It only works if it is applied every time, friends of the lake included.

## Deposits: when they are worth it and how to take them

Some Romanian lakes ask for a non-refundable 50% deposit on long sessions, usually by bank transfer, with the option to move the session within the same year if you give a few days' notice. Others ask for full payment for weekends or for booking the whole lake.

A deposit is the strongest commitment, but it has a price:

- **Friction.** Some anglers give up when they have to make a transfer and send proof of payment.
- **Admin.** You check payments, keep records and sort out "I paid but I cannot see my booking".
- **Disputes.** Without rules written in advance, every cancellation becomes a negotiation.
- **Paperwork.** Every amount you collect has to be documented for tax purposes. Ask your accountant how to issue the document for a deposit. There is more on this in our guide to [**fishing lake permits and taxes**](https://lakebooking.com/blog/fishing-lake-permits-and-taxes).

The practical rule is to take deposits where a no-show costs you most, such as sessions of 48 hours or longer, weekends in season, your most popular swims and whole-lake bookings. For a 12-hour session on a Tuesday, a deposit brings more hassle than benefit.

On LakeBooking the angler pays a 10% booking fee online when they book, included in the price shown. It is not a deposit that you collect, since you take the other 90% at the lake, in cash or on your own POS, as before. For the angler, though, it is money already paid, so the booking is a real commitment. If you also want a deposit for long sessions, write it into your lake's regulations so anglers see it before they book.

## Cancellation rules anglers accept

Anglers do not mind rules. They mind rules that are vague or applied selectively. A good policy has four parts:

1. **A free cancellation window.** Between 48 and 72 hours before arrival is a fair compromise, because the angler can change plans and you have time to sell the swim again.
2. **An option for late cancellations.** Instead of keeping everything, offer one move of the session within the next 30 days. The angler keeps their money and you keep the customer.
3. **A weather exception.** With an orange or red severe weather warning for the lake's area, a free move is fair and heads off arguments.
4. **A clear no-show rule.** A warning, then payment in advance. Written down, not improvised.

On LakeBooking your cancellation policy is shown at checkout, before the angler confirms the booking. Separately, the online booking fee has its own rule. If the angler cancels more than 48 hours before check-in, the fee is refunded in full; within 48 hours it is not. If you decline a booking request, the fee is refunded automatically.

## What to look for in a fishery booking system

Whatever you use, booking software, your own website or a platform, check it against this list:

- **Availability per swim, not just per day.** The angler needs to see which swim is free, not just that "there is room".
- **Real session lengths and check-in times.** 12, 24 or 48-hour sessions, starting at the times you actually take anglers in.
- **Different prices at weekends and by season.** Otherwise you leave money on the table on Saturday or empty the lake on Tuesday.
- **Confirmation your way.** Automatic for speed, or manual so you see who is coming.
- **Rules shown before payment.** Including the cancellation policy.
- **An online payment at booking.** At least part of it, so the booking counts.
- **Automatic reminders.** For the angler and for you.
- **A calendar where you block swims booked elsewhere.** Otherwise phone and online bookings will collide.
- **Clear costs.** A monthly subscription, a commission per booking, or both? Do the sums over a year, not a month.
- **A page that shows up on Google.** Anglers search for "booking" plus the lake's name. A bookable page that appears for that search brings bookings without a phone call.

### How LakeBooking handles it

- The angler picks the package, the dates and the swim, sees the final price and pays the booking fee online.
- You choose whether bookings confirm automatically or you confirm each one by hand (the default). If you decline a request, the angler's fee is refunded automatically.
- You set the minimum notice, how far ahead anglers can book, preparation time between sessions, days with no check-ins and your season dates.
- The angler gets a reminder the evening before, and you get a summary of the next day's arrivals.
- When an angler cancels, the swim is released automatically for someone else to book, and you get a notification.
- Every booking has its own message thread, so arrival details no longer get lost in WhatsApp.
- There is no subscription and no listing fee.

Here is what it does not do, so you know exactly what to expect. It does not take deposits on your behalf, it does not mark no-shows, and it does not import your phone bookings by itself. You block those in the calendar.

## Phone and online, in one calendar

You do not have to choose between anglers who phone and anglers who book online. You only need every booking to end up in the same place.

When a booking comes in by phone, block that swim in the calendar for those dates, with a note (name, phone number, deposit received or not). From then on the swim no longer shows as free online, and the calendar stays the single source of truth for the whole lake.

Over time, move your regulars to booking online without forcing them. Send them your lake's link after each session and put a QR code on the gate and on the rules board. There is more on that in our guide to [**attracting more anglers to your lake**](https://lakebooking.com/blog/attract-more-anglers-to-your-lake).

## Booking and cancellation rules: a template

Copy the rules below into your lake's regulations and replace the values in square brackets. Apply them the same way to online and phone bookings.

1. **Booking.** Swims are booked online or by phone on number. An online booking is confirmed once the booking fee is paid. A phone booking is confirmed after the deposit is paid / our confirmation message.
2. **Arrival.** Check-in on the swim is from 07:00. A booked swim is held until 10:00 on the arrival day. If you are running late, let us know, or the swim may go to another angler.
3. **Cancellation.** You can cancel free of charge at least 48 hours before arrival. Within 48 hours, you can move your session once within the next 30 days.
4. **No-show.** If you do not come and do not tell us, the first time you get a warning. The second time, future bookings are only accepted with full payment in advance.
5. **Weather.** With an orange or red severe weather warning for the lake's area, you can move your session at no cost.
6. **Leaving early.** Leaving before the end of the session does not entitle you to a refund for the remaining hours.
7. **The same rules for everyone.** The rules apply the same way however you booked.

If you also take bookings through LakeBooking, keep the same cancellation policy in your lake settings, so anglers see at checkout exactly what your regulations on the bank say.

## Put your lake on online booking

Listing on LakeBooking is free, with no subscription and no listing fee. You add your swims, packages, prices and rules, and anglers book online, day and night. We only earn when you get a booking. The angler pays a 10% booking fee online, included in the price, and you collect the other 90% at the lake. No time to set it all up? On the [**page for lake owners**](https://lakebooking.com/join) you can ask us to build the listing for you.

## Frequently asked questions

**How do I stop no-shows at my fishing lake?** Take a paid commitment at booking, state your cancellation rules before the angler pays, send a reminder the day before and make cancelling easy. Apply the same no-show rule to every angler.

**Should I ask for a deposit?** For long sessions, weekends in season and whole-lake bookings, yes. For short midweek sessions, usually not. Any deposit you take has to be documented for tax, so agree with your accountant how to issue it.

**What is a fair cancellation policy?** Free cancellation 48 to 72 hours ahead, one move of the session for late cancellations and a free move for severe weather warnings. What matters is that the rule is written down and known before payment.

**Can I still take phone bookings?** Yes. Block the swim in the calendar for those dates, with a note, and it no longer shows as free online. That way you have one calendar for every booking.

**What happens when an angler cancels a LakeBooking booking?** The swim is released automatically for another angler to book, and you get a notification. If the angler cancels more than 48 hours before check-in, their booking fee is refunded in full; within 48 hours it is not.

**Can I approve every booking by hand?** Yes. Manual confirmation is the default, so every booking reaches you as a request that you confirm or decline. Once you trust your calendar, you can switch to automatic confirmation.

**How much does online booking on LakeBooking cost?** Listing is free, with no subscription. The angler pays a 10% booking fee online, included in the price shown, and you collect the other 90% at the lake, in cash or on your own POS.
